This is primarily an office-based position, requiring communication via telephone and email, and research via the Internet. Additionally, travel to attend judging sessions may be required.
Assisting in the production of all awards shows under the Loeries umbrella, including but not limited to the Loeries, Creative Circle, and Bookmarks.
The duties of the position include:
- Working with the awards team to ensure that all tests, checks and admin system procedures are carried out correctly
- Support the team with any admin related queries
- Production coordination of all awards shows under the Loeries umbrella, including but not limited to the Loeries, Creative Circle, and Bookmarks
- Opening/sorting entries.
- Checking and processing media files and physical material.
- Preparation for Judging Week – including cataloguing of entries, packing and shipping of all material.
- Support Loeries Creative Week event production where necessary.
- Manage one of the smaller awards in terms of client liaison, following deadlines, communicating with the client, under supervision of the Awards Manager.
- Maintain all records, including but not limited to schedules and checklists.
- Entry management via CMS – print lists/labels/check entry ID’s, etc.
- Compiling and handling entry queries with the industry throughout Africa and the Middle East.
- Scanning and packing entries, stationery, and equipment for judging.
- Assisting with set up of judging on CMS where required.
- Assisting with event set-up and managing of judging sessions.
- Assisting with store orders where required.
- Dealing with queries, info email and phone calls.
- Any other secretarial/office management/administrative/supervisory/production duties that may be assigned from time to time, including answering telephones, dealing with queries, filing, guest hospitality, organising tea & refreshments, etc.
- Provide additional administrative support to staff members where appropriate.
